Important Dates for Housing Applications for the Academic Year 2014/2015

Freshmen and transfer students are required to pay an academic deposit, which can be paid on-line through your MIX account. At the same time, you can continue and complete the housing application and make the housing deposit. While we usually accept housing applications until each school term starts and at any time during the semester, it is best to apply early. The earlier you apply, the better your chances are of getting your preferences.

Remember, late applicants may have to wait for a room assignment and may be assigned to temporary housing if permanent space is not available when you apply. After the halls fill, we utilize extended and temporary housing sites to meet the demand.

October – On-Line Housing Applications

The submission of on-line housing application starts. Students must pay the academic and housing deposits prior to their application being completed.

February – Room Selection Process Begins using the on line Housing Management System (HMS)

Students were provided their priority dates, for the room and roommate selection process, based upon the date their housing application and deposit were submitted. If you cannot remember your dates, refer back to the confirmation e-mail you received at your WVU MIX account.

Starting on February 1, 2014 room selection priority periods will begin to open. Your priority period must be open in order for you to select a room. A link in your email will take you to the Housing Management System or click on HMS. Then you can use your Mix User ID and password to login, select a room from available rooms, and invite a roommate. It’s that simple!

The on-line assignment process continues on a rolling basis for those students who have submitted an application and have paid their housing deposit. HMS will confirm your room assignment information by sending you an email to your MIX account. As in the past, the day after you make your room selection, you will be able to log into your account through MIX and view information about your roommate, and the information is available through HMS, if applicable.

  • Sign into Mountaineer Information Xpress (MIX) at mix.wvu.edu using your MIX ID and password (you should have already received instructions for using the MIX account).
  • Click on the “STAR” tab.
  • Click on the “Star Information System” link.
  • Click on “Student Services, Houisng, and Financial Aid” link.
  • Click on “Housing” link.

Roommate Requests and Information

As part of the on line Housing Management System (HMS) you will be able to request your own roommate. Once your priority period is open you can complete a roommate profile and search for a compatible roommate. If you know someone you are already interesting in rooming with, simply send them a roommate invitation request through HMS using their MIX email address.

Roommate invitations will remain activate for 10 days. During this time, your potential roommate may accept or decline the invitation. You will receive notification of the roommate decision through your MIX account.

Students who have a requested roommate and who do not get into the same room, due to space limitations, should read the information about getting on the waitlist to be moved together at Waitlist.

May 1- Partial Refund Deadline for Fall/Spring (Academic Year)

In order to receive a refund of $125.00, you must notify us in writing of your intent to cancel your contract or you can visit our online cancellation system at www.sa.wvu.edu/cancel. Once you submit your cancellation, you will cancel your admission, registration, financial aid, scholarships, orientation, and housing. This notice must be received by May 1 regardless of when the deposit is paid. After this date, the deposit is nonrefundable and the contract is legally binding for the entire academic year as long as you attend WVU. If you do not cancel by May 1, you will be billed for the entire academic year and will not be released from the contract as long as you are attending WVU.

Starting at the beginning November 2013, an email will be sent directly to your MIX account from HMS informing you of your priority period for room and roommate selection. Starting mid-November 2013 the room selection priority periods will begin to open (dates are established based upon the date your housing application and deposit payment were received. Your priority period must be open in order for you to select a room. A link in your email will take you to the Housing Management System or click on HMS. Then you can use your Mix User ID and password to login, select from available rooms and invite a roommate ?it’s that simple!
